Team Commitment & Tournament Costs

Last updated: October 29, 2026

Every player on an EKS travel team pays an equal share of the team's tournament costs, whether or not they play, unless an illness, injury or conflict is reported before the team registers.

1. Commitment

Joining an EKS travel team is a commitment to the team for the whole season: practices, league games and the tournaments the team enters. At the start of the season the team manager shares the tournament calendar and an estimate of each event's cost.

2. What the team pays for

Beyond club fees, each team pays the entry fees for tournaments it enters (other than the events EKS pays for) and the coach's travel to away tournaments under the EKS coach travel policy. Each family pays its own travel, hotel and meals.

3. Equal shares

A tournament's entry fee and coach travel are split equally among all players on the team's roster for that event, whether or not the player plays. Once the team registers, the entry fee is spent, so the share is owed.

4. Illness, injury or a known conflict: tell us before the team registers

Teams usually register about a month before each tournament, by the tournament's deadline, and the manager tells families the registration date when the tournament is announced. If a player is ill, injured or has a conflict, the family tells the coach and the manager in writing before that date, and the player is left out of that tournament's split. The club may ask for confirmation, such as a doctor's note. It doesn't need to say what the illness or injury is.

5. After the team registers

The player's share is still owed, even if they can't play. For an injury that keeps a player out for a long time, the club may waive the shares for tournaments the player misses.

6. Same share for everyone

Every family pays the same share for each tournament the team enters. No share is moved onto the other families.

7. Paying

The team manager collects each family's share before the tournament, by the date the manager sets. A player with an unpaid share can't be registered for the next event until it's paid.

8. Cancelled events

If the team withdraws before the tournament's deadline, or the tournament is cancelled, families get back whatever the tournament refunds, as a refund or a credit toward the next event. Games shortened or cancelled by weather follow the tournament's own refund rules.

9. Leaving the team

Shares for tournaments the team had already registered for are still owed, as in the EKS Refunds & Cancellations policy.

10. Open books

  • The manager records every team expense and receipt in the team budget.
  • Families can see the summary at any time.
  • Anything left at the end of the season is returned or credited.
